As an Executive Assistant, you will provide comprehensive administrative support to the CEO and staff. You will be the key point of contact and act as a liaison between the CEO, staff members, clients, and external partners. This role requires exceptional organizational skills, excellent communication, and the ability to handle multiple tasks in a fast-paced environment.
RESPONSIBILITIES:
- Prepare and review documents, contracts, and other correspondence, ensuring accuracy and attention to detail.
- Create forms in Microsoft for various projects, including employee surveys an assessments/checklists.
- Organize electronic files and create better working systems for the company.
- Conduct research and compile data for various projects or reports, presenting findings clearly and concisely.
- Communicate with potential vendors on services and pricing.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Act as a gatekeeper, ensuring the executive's time is optimized, and interruptions are minimized.
- Build and maintain positive relationships with key stakeholders, both internal and external.
- Complete company-related purchases on behalf of the CEO.
- Complete ad-hoc administrative tasks and support special projects as assigned.
- Create standard operating procedures.
- Proactively manage the executive's calendar, schedule appointments, and coordinate meetings, ensuring optimal time management and prioritization.
- Prepare and organize materials for meetings, presentations, and conferences, including agendas, reports, and presentations.
- Coordinate travel arrangements, including flights, accommodations, and transportation, and prepare travel itineraries.
- Manage and filter incoming communications (emails, phone calls, correspondence), responding on behalf of the executive or redirecting inquiries as appropriate.
QUALIFICATIONS:
- Bachelor's degree in Business Administration, Communications, or a related field (or equivalent experience)
- Proven experience as an Executive Assistant or in a similar administrative role, preferably supporting C-level executives.
- Exposure to HR activities is a plus.
- Demonstrated ability to plan ahead and anticipate needs.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication skills, both written and verbal, with a high level of professionalism anddiplomacy.
- Proficiency in Google tools and MS Office applications, including Word, Excel, PowerPoint, and Outlook.
- Ability to handle sensitive information with confidentiality and integrity.
- Strong attention to detail and accuracy in document preparation and data management.
- Excellent problem-solving skills and the ability to make decisions in a fast-paced environment.
- Proactive and self-motivated with a can-do attitude.
- Ability to work independently and collaboratively in a team environment.
- Flexibility and adaptability to changing priorities and business needs.
Our working hours are aligned with the US time zone. Our standard working hours are 3pm - midnight, South African time.
